How to prepare your Nova Poshta shipment export

It takes about 10 minutes. You make the export yourself — we never get access to your account.

  1. 1. Export your shipments

    In your Nova Poshta business account, open the list of your shipments, choose roughly the last 60 days and export it to Excel.

  2. 2. Keep only 4 columns

    Ship date, status, cash-on-delivery or payment-control amount, delivery cost. Delete every other column completely — names, phone numbers, tracking numbers, addresses.

  3. 3. Save and upload

    Save the file as .xlsx or .csv (up to 5 MB) and upload it through the audit form. No sign-up needed — just an email address for the report.

  4. 4. Get your report

    Within 1 business day you receive your pickup rate, number of refusals and monthly losses in hryvnias.

Important: if the file contains even one extra column — for example “Phone”, “Name” or “Tracking number” — we do not process it and delete it immediately, and send you instructions on keeping only the 4 required columns. That way your buyers’ personal data simply never reaches us.

How we calculate your pickup rate

Which parcels we count

Only cash-on-delivery or payment-control parcels sent 20–60 days ago. Newer ones may still be in transit or at a branch; older ones may be incomplete in a 60-day export.

How we determine the outcome

We map every status in the export to a Nova Poshta status:

  • collected — the parcel was received;
  • not collected — refused at pickup or returned to sender;
  • undetermined — everything else (for example, still in transit, or an unclear status).

We never count “undetermined” as a loss. If more than 3% of parcels are undetermined, the report is not generated automatically — a person reviews it manually so you don’t get a distorted number.

The formula

Pickup rate = collected ÷ (collected + not collected) × 100%.

Shipping losses = refusals × round-trip delivery cost (from your columns, or 180 UAH by default if there’s no data).

Example calculation

A shop sends 1,200 COD parcels a month with an 86% pickup rate. That is 168 refusals. On shipping and packaging alone it loses at least 16,800 UAH a month, and up to 30,240 UAH if returns are paid. Is the audit really free?

Yes, for any shop and with no obligation. We run the audit so you can see your losses in hryvnias; the pilot is offered only to shops with 300+ COD parcels a month.

How do I calculate my pickup rate myself?

Take COD parcels sent 20–60 days ago and divide the number collected by the sum of collected and returned. Ignore “in transit” statuses. Or send us the file and we’ll do it for you.

Why exactly 4 columns?

That is enough to calculate the pickup rate and losses, and the file contains no personal data. A file with any other column is not processed and is deleted.

What period should I export?

Roughly the last 60 days. We count parcels sent 20–60 days ago — they already have a final outcome.

How long does the report take?

Up to 1 business day. If more than 3% of parcels have an undetermined status, we review the report manually, which may take a little longer.

What happens after the audit?
